Senate of Canada Awards Contract to Cogniva

IM Review, Audit & Strategy Planning. In October 2005, the Record Management & Archives Services of the Senate of Canada underwent an Information Management Review and Audit. This audit led to a Program Review & Audit Report that highlighted the need to revise present recordkeeping procedures and priorities within the Senate to respond to the evolving role of information in contemporary digital environments.

In continuation of this effort to harmonize Senate Information Management with governmental best practices and the International Standards Organization tenets for Records Management, in December 2006 a subsequent report outlined the need for the Senate to move toward implementing an Electronic Records and Document Management System (ERDMS).

The Senate is now undertaking efforts to integrate the information landscape of their Intranet Portals into Microsoft SharePoint Server 2007.

To this effect, Cogniva developed a new approach to information management and e-recordkeeping which included:

 

  • Development of a functional file plan;
  • Development of functional requirements for e-recordkeeping;
  • Development of a sustainable model for managing e-records through their lifecycle;
  • Provided on-going advice on e-recordkeeping to the Director;
  • Developed a SharePoint proof-of-concept using Microsoft SharePoint;
  • Proposal of environmental changes to enable the development, implementation and enforcement of e-recordkeeping in the Senate.
